Vocal Music Committee Descriptions
- The committee members are any parents who have students who have graduated from the Vocal Music Program and desire to keep in contact with our organization. We want to communicate events and functions to them as well as provide the opportunity to support the Booster Organization through time, talent and finances.
The committee might publish a newsletter to alums. They also keep current contact information in the Booster Club's communications data base.
- This committee schedules busses for any trips the group takes. Schedule and times are determined by the directors. Pricing and quotes are first attained and then contract approved by the directors and board. Scheduling, sign-up and collections for parent and friends buses for show choir competitions are included. Keeps a copy of the contracts and assures accurate and timely payment based on quotes and invoices.
- This event is normally the Sunday evening prior to school opening - or at the end of the last day of Show Choir Camp. Arrange for the ice cream donations or purchase, as well as the bowls and utensils, drinks and cups. Communicate to calling and communications committees to contact parents for cookies, cake, etc to be provided. Freezer for storage and ice cream scoops are also needed. Organize clean up with volunteers.
- The chair person contacts the lead person for each branch with the message detail for each call. Calls are made to the families who prefer the phone to email communication of up-coming events and needs. The number of branches (callers) is dependent on the number of families who prefer the call method versus email or use of the Home Page on the Internet..
- Responsible for keeping the email list up to date and accurate with email addresses. Sending messages can be in the control of all board members if desired. Email is the preferred method as it saves a great deal of phone time, so if this method works for you, be sure the committee chair has your email address on the list. All email messages are also available in the Archive section of the Web site.
- Responsible for distribution and collection of the choir performance attire. These are also cleaned (professionally) at the end of the year and stored at school. Transporting them to the cleaners and back is the work of this committee. Ordering new costumes and removing old, worn costumes is also this committees responsibility in conjunction with the directors.
- Assure volunteer coverage and sufficient supplies for each event. Arrange schedules and any equipment with the Activity Director or whoever is appropriate school personnel contact for each event.
Be present at concession area to supervise activity and money at the event. Clean up responsibility and financial accountability for this event are this committee's responsibility. Two events known to need concessions each year are Silent Auction and Follies nights; and the Spring Musical production nights. Others might be added, depending on activities and the associated benefits of concessions available.
- Determine the projects for the year and appropriately schedule them. Assure the coordination of distribution and financial accountability for each project - and provide a list by student of money to be credited to each student account. Order the materials after consulting with the board. Assure bills are paid at appropriate time. Each event can have a different person in charge of the details and the distribution if desired.
- The single most important and critical of all positions, this chair person recruits, advises, and manages the group of committee chairs for this event. Must be a highly organized and motivated person who wants to see a successful show choir competition. We all hope Bart Hall will do it forever ! Thanks Bart !
- Arrange for flowers at the Winter Concert at the Chapel at St. Ambrose. These flowers can be purchased as special gifts for students who are performing. Likewise for other performances, such as the Spring Musical production, where balloons or some other small value gift could also be made available as a gift to performers.
- Help with repairs to costumes, including show choir costumes. Often some minor repair is needed at a show choir competition or a concert choir performance. At times of emergency or due to financial reasons, this committee might also cut and sew costumes for selected choirs.
- One of our fund raisers and important recruiting tools is the spring clinic, where North High students work with middle school and elementary age students who might be interested in show choir activity. Tee shirts need to be ordered for the participants. Publicity must be distributed, as well as scheduling date and time with our directors and school administration.
Publicity - Publicity for any of our music events - from early in the year to winter concert; silent auction and follies; to the Big Dance and the spring musical; show choir clinic; any awards or recognition which should be noted and publicized.
Silent Auction - Co-Chair with a band booster parent. Organize and schedule the auction. Help with publicity by keeping an up to date list of items donated and available for auction. Assure committee representation for the actual night of the auction for supervision and financial accountability, as well as clean up.
