Vocal Boosters Meeting December 9th, 2003

Meeting called to order at 7:00 p.m.  There were approximately 17 people in attendance.

Minutes from the November 4th meeting were approved.

Treasurer Report was given:  Check book balance is approximately $6,000.  There has been a separate account opened for the Florida trip funds.  There is approximately $20,000 outstanding in assessments fees that are due, which include December’s assessment payment.  Phone calls to parents will begin again soon.  There are a few costume expenses left to pay and around $8,000 left to pay for the buses.  Treasurer’s report was approved.

Director’s report:  Riewerts reported that the Chamber singers have been performing at various places for the holidays.  There was an added expense this year for the  students who went to All State.  The school district budget for this event  is $1500, which includes all three high schools and the actual cost for North High students was approximately $1200.  Students are to be at St. Ambrose for rehearsal at 4:00 p.m. on the 16th and the Christmas concert will begin at 7:00 p.m.  A few position changes are being made for Northside and there will be practice this weekend to finish up the show.  Pit has been practicing now and the crew has been selected.  There are scheduling problems arising again with the students and this needs to be addressed with the school.  Riewerts also announced that he will become a father in June.

Committees:

Parent Bus Trips:  There is a slip on the website to be completed along with a fee of $25.00 for any parent wanting to ride the bus to Milton, WI.  Center Stage students, if they wish to go, can also pay the $25.00 fee to ride the parent bus to Milton, since they will not be performing.  There will also be parent buses to Urbandale, IA and Totino Grace, MN if there are enough parents signed up to acquire a bus

Fund Raising:  At John O’Donnell concessions this year we will be handling the pizza and hot dog stands.  We should be receiving the exact dates soon.

Big Dance Ads:  A reminder to the students that we need ads coming in.  The information is out on the website for the cost and size.

Silent Auction:  Final grand total brought in was $8,929.00 with 830 items sold.  There were 230 business donations and 68 students who brought in items.  There was one student that made over $800 this year.

Concessions:   Locks have now been put on the cabinets.  Riewerts will be checking with the non-school related events/organizations that use the Auditorium on whether they would like us to sell concessions at their events.

Construction:  One old riser needs to be fixed.

Flowers/gifts:  There was a motion made to raise the selling price of the flowers at the Christmas concert to $2.00 per flower instead of  $1.00 as that does not cover the cost of the flowers any longer.  The motion was passed.

Makeup:   Has not been ordered yet.

Newsletter:   Coming out soon.

Costumes:   Should be trying them on over the Christmas break.

Pictures:  The committee needs a list of the Pit and Crew members in order to finish up the book.

Big Dance:  There are now 5 concert choirs coming for Friday night.

Other business:  Please review the letter that has been drafted concerning the scheduling issues for the students as there have been 34 students that have dropped this year because of this problem.  Also, there is another issue being addressed to raise the credits for students to graduate.

Next meeting will be held January 6th, 2004 at 7:00 p.m.

Meeting was adjourned at 7:40 p.m.
