Vocal Boosters Meeting February 3rd, 2004

Meeting called to order at 7:00 p.m.  There were approximately 31 people in attendance.

Minutes from the January 6th, 2004 meeting were approved.

Treasurer Report was given:  Check book balance is approximately $5000 plus a few small deposits to be made tomorrow.  The scholarship fund has a balance of $1000, $200 is from the sale of the directories.  The directors will inform the students about the scholarship fund and how they will need to apply for the money in the writing of an essay.  The scholarship committee and the directors will then determine how the scholarship money will be distributed to the student(s) who qualify.  The boosters currently owe $7000 to the Florida trip savings account, which will be paid back from the Big Dance proceeds.  Treasurer’s report was approved.  It was noted by the treasurer of the Big Dance Committee that the money received from the sale of the ads was approximately $1000 less this year, thus far.

Director’s report:  Riewerts informed the parents that the students were in the process of learning the music for the concert choir competition at the Great River invitational.  He also noted that the students performed well at the State competition and were working very hard to raise the money to attend the Totino Grace competition.  One of the choreographers is returning on Monday to help polish performances.  He noted that solo night for small group is not a requirement for the students and that he is looking forward to the upcoming trip to Florida.

Schloemer requested to see an update on the student assessment fees.  “Hell week” for Center Stage went well and there was a good turn out of volunteers.  The students performed very well at State competition.  She noted that if anyone has pictures to share this year of the choirs that the Year Book committee is still accepting them.   “Thank you” was sent out to Dan Thurston for the pictures he took parent night of Center Stage, to all the parents that helped out in the rooms at the State competition, and to Mr. McCartney for his help with PIT this year.  She informed the boosters that we will be needing concessions for the Talent competition April 24th, 2004, which should be a good money maker.  Any student that has won a competition this year will have their entry fee waived for this Talent contest.

Committees:

Scholarship:  Still working on raising money.

Parent Bus Trips:  The bus to Urbandale, IA will be leaving at the same time as the student bus, 5:30 a.m.  Students will need to be at the school by 5:00 a.m.  There will probably not be a parent bus to Totino Grace, MN as there hasn’t been enough interest shown from parents.  The hotel for the parents will probably be the Country Inn & Suites.

Fund Raising:  D. Thurston is making student pins to sell for $6.00, $3 will go to the booster club and $3 for the button expense.  Discussion was held about holding an auto raffle.  A local dealership will provide a car at cost (approximately $10,000) and the students will raffle off tickets for $50 per chance to win the car.  Swing concessions sign up will begin soon on the website.  There are 27 dates available and we will need 7 to 12 adults and 3 to 7 students per night to sign up.  A small committee consisting of D. Peel, R. Mullens, and E. Lay was formed to organize a Spring Golf tournament.

Newsletter:   A letter will be ready to go out next Wednesday.

Show Choir Clinic:  Need to be checking into dates available to hold the clinic.

Construction:  Needing help to set up in the Auditorium next Thursday night and then again on Friday night in the gymnasium for the Big Dance.

Big Dance committee:  Will be holding a meeting tonight after the booster’s meeting.

Other business:  Booster shirts are for sale and will take two weeks to receive after you order them.  Big Dance T-shirts will be available for sale Friday night at the Big Dance for $10 to $14.  Please pick up your statement of your balance due for the Florida trip and assessment fees.   The morning Optimist Club is looking for new members.  If anyone is interested in joining, please contact Ryan.  It was mentioned to Ryan about the wait to get into the Adler for the Show Choir Showoff.  This is a concern for the parents and especially the grandparents of the students and Ryan will check into it with the Adler staff.

Next meeting will be held March 2nd , 2004 at 7:00 p.m.

Meeting was adjourned at 8:07 p.m.

Respectfully submitted,

Dotty Bainbridge, Secretary
