Vocal Boosters Meeting October 1st, 2002

Meeting called to order at 7:06 p.m. with 36 in attendance.

First order on the agenda:  CONGRATULATIONS TO RYAN AND MARY BETH!!!!

Minutes from the September meeting were approved.

Treasurer Report was given:  We have sold approximately $5000 worth of books for the Entertainment Book fundraiser, which is still in progress.  We will have to pay for all books sold and then will be sent our check for profit based on total books sold.  We have sent entry fees for two of the competitions for this year.  It was noted that we have received less than half of the first installments of assessment fees.  Treasurer’s report was approved.

Discussion was held regarding the need to form a committee to help with the collection of past due assessment fees.  Approximately $7000 is still due from last year’s assessment fees.  Letters were sent out last Monday requesting payments and approximately 50% has been collected thus far.  Final rosters for this year are now established and payments will be posted soon in the music room.  It was noted that there is a small amount of grant money available for students who qualify for the need.

Director’s report was given:  Riewerts informed the Boosters about having a large Freshmen class this year and that the upcoming Musical is going well and has a cast of over 60 students.  He also noted the need for an Auditorium Administrator for North High, but that there are no funds available at this time.

Schloemer noted that the Opus auditions will be submitted Oct. 17th, 2002 and that the students need to be turning in their contracts and health information.  She informed the Boosters that the majority of the students will be carpooling to Bettendorf on Oct. 14th, 2002 for the Metro Fest and the evening concert will begin at 7:30 p.m.  She also requested the need for a parent to help with awards and plaques.

A proposed Board Resolution for approving the acquisition and usage of a credit card for the vocal music directors was read by Vicki Alderson.  The Vocal Boosters Board will hold a brief meeting later for further discussion.

Additions to the 2002/2003 Schedule were made as follows:

The first Big Dance meeting was held last week with several in attendance.

D. Thurston is in the process of getting prices and scheduling buses.  Parent buses will only be provided if the competition is more than a 1 ½ hour drive and the smallest bus will hold 36 people.  Totino will be an overnighter for the bus driver and will be more expensive.

The Calling Tree Committee needs more volunteers to help in order for the committee to exist or the boosters will be contacting people only through their email addresses.

Concert uniforms will be distributed next Monday for Varsity and Acapella and help is needed.  Mixed Chorus will receive their uniforms the night of their first concert.  There are approximately 44 students in chorus that are not in show choirs, but only a few have not paid their uniform fees.  It was noted that the fees should be stated in the school’s curriculum book for next year.

Concessions:  A new pop machine has been obtained by the booster’s club for the concession stand in the auditorium.  Discussion was held on a policy for the use of the new machine.

D. Iossi is the new chair of the construction committee.

Party Time fundraiser orders will be due in Oct 21st and the delivery will be Thursday, Nov. 15th.

The first newsletter went out last week and the next one is scheduled before the end of October.

Costumes/Sewing committee is in need of a chairperson.  There are a few volunteers to help.

Publicity committee is in need of more volunteers this year.

Silent Auction will be Nov. 8th and the Webster’s are requesting that the donations be delivered to them ASAP.  The letters to the businesses went out 2 weeks ago.

Booster’s shirts will be ordered twice this year in Oct. and Nov.  The order form can be found on the website.   You can also purchase for $4.00 a paw to be put on your turtleneck.

Other business:  Big Dance Ad letters can be picked up from J. Metz.  60% of the cost of any ad sold by a student will be applied towards their assessment fees.  Discussion was held again on holding a trivia night at the school with possible dates either in Nov. or Dec.  Handouts are to be given to the students reminding them to bring at least the minimum uniform fee for chorus uniforms before they will be handed out.  Second assessment is due Oct. 14th and the next booster’s meeting will be held Nov. 5th at 7:00 p.m.

Meeting adjourned at 8:47 p.m.

Respectfully submitted,

Dotty Bainbridge, Secretary
